Guidelines for OUTBOUND TRAVELS



The purpose of this page is to answer Frequently Asked Questions about an exchange to another district, i.e. also referred to as the outbound exchange.

Every continent is allocated a CONEX (Continental Expert). 
(a) S/he plans and co-ordinates the inbound exchange.
(b) In terms of the outbound exchange, s/he is the liaison between D9400's outbound participants and the participating district's Exchange Co-Ordinator.

What do I pay?
  • R500 administration fee – once off / non-refundable – per person. 
  • R700 per person per day land-cost – minimum. The cost may vary subject to the Exchange Co-Ordinator of the visiting district, but this is the standard fee we aim at in terms of a reciprocal exchange. (They pay the same when visiting us.)
In the event of the host district NOT wanting any land-costs to be paid to them, the outbound participants pay the standard land-cost into the RFE D9400 bank account. The funds will be ring-fenced so we can reciprocate on the inbound exchange.

What do I get?
  • You get to see and experience different cultures and traditions like no one else, but a privileged Rotarian. Rotarians may take you to places not always known by the general tourist!
  • You are home hosted. This means no Bed and Breakfast expenses, except if by pre-arrangement you agree to an additional excursion that includes accommodation not provided by Rotarians.
  • Meals are provided with the compliments of your hosts.
  • Advance international understanding and peace through personal contact across borders.
  • Develop inter-club relationships for fellowship and service projects.
  • RFE offers Rotarians the opportunity to make long-lasting friendships while exploring different areas of the world.

 What is NOT covered by my land-cost?
  • Transport from and to D9400
  • Insurance
  • Shopping
  • Gifts
  • Visa / Passport documentation
  • Courier fees
  • Additional excursions

How do I sign up for an outbound exchange?
  • Go to our “CONTACT US” page. 
  • Call or WhatsApp the CONEX that deals with the continent you wish to travel to.

What is expected from me?
  • Once on board, pay your administration fee.
  • The CONEX will advise when the land-cost is payable. Be ready for the upcoming payment and pay in time.
  • Complete a Participant Questionnaire for submission to the CONEX.
  • Once your flight tickets are booked, copy your flight details to your CONEX.
  • Make sure your passport / visa is in order.
  • RFE is NOT responsible if an exchange is cancelled.  Although we had no such situation yet, you remain the only responsible person to ensure you have sufficient travel insurance to cover such an unfortunate eventuality.
